How does GroupandPay.com, the Group Payments System work?

If I already started a collection off-line, can I still use GroupandPay?

Absolutely! – All you need to do is start a collection, fill in the details, and the details of the members of the group, then any members that have paid you in person with cash, you can mark off as paid.

Members can continue to pay offline in cash if they want, and if that’s OK with you, but they can also pay online if they prefer. See relevant FAQ’s below on this.

Do I have to pay online, can I pay in Cash?

Absolutely but this must be OK with the organizer of your collection.

You have two options for paying into the collection:

Option 1 – Pay Off-line – Members can pay the organizer off-line with cash if the organizer is OK with this, and the organizer can mark them off as “Paid” on the GroupandPay system. The good news here is, there are no fees associated with this option.

Option 2 – Pay On-line – This is a convenient and fast way for members of a collection to make a payment. When they hit the “Pay Now” button over on the right-hand side of the collection page, they can pay instantly with their Credit Card, Debit Card, or PayPal account if they have one. Minimal transaction fees will apply.

The fees GroupandPay.com charge to cover the cost of supplying the service, is 1% on transactions paid online by members of the collection, but this is limited up to a maximum charge of $15 USD, or the nearest equivalent in your local currency. This is aimed at keeping GroupandPay.com affordable for members of collections with higher costs, e.g. Safari’s, Cruises, etc.

The members of your collection will be notified of these options to pay online or offline when they view the details of the collection. They will see the notice below just under the description of what the collection is for.

Where does the money go that is collected?

It goes straight into the PayPal account of the person who has created the collection.

Is there a cost for using GroupandPay.com?

Here are some Points about the Costs:

1) It is completely free for an organizer to set up a collection page on GroupandPay.com.

2) We only charge a fee of 1% on transactions paid by members of your group, when they pay online for their part of the collection. This cost is charged to the member and not the organizer.

3) The 1% charge is limited at a maximum of $15 USD, or the nearest equivalent in your local currency. This is aimed at keeping GroupandPay affordable for members of collections with higher costs eg. Safari’s, Cruises, etc. This cost covers the cost of supplying the GroupandPay service.

4) There is “NO COST” if the member pays the organizer in person with cash. The organizer can then mark the member off as “Paid” on the GroupandPay system.

5) There may also be an additional standard cost that PayPal charge for processing Credit Card Payments – If you are paying with funds from your Credit Card or Debit card through the PayPal system, there is usually an average commission charge that PayPal charges for processing the payment, and this is dependent on your location.

If you are paying with funds from your bank account through the PayPal system or funds held in your PayPal account if you have one, then there is no charge.

How do I use GroupandPay to Collect our Club Memberships?

Item 1
You simply set up a collection as normal, and in the description area give as much detail as possible about what the club membership does, and why its so important to pay your membership, as sometimes it can be for insurance purposes as players that don’t have their club membership paid, are not covered under clubs insurance.

To complete the set up you only need your members names, emails and mobile numbers. We don’t look for any other information as we believe that including these other options can make the system a little complicated, so GroupandPay’s only focus is to assist you to collect the money for your club memberships, and If you need any further information from your members in terms of Date of birth, address etc. then it is easier to collect this information manually after they have paid.

When it comes to repeating the collection again for the following year there is a button on the “My Collections” page that says “Repeat this collection with these members”. This button does exactly what it says o the tin, and allows you to set up a new collection with the same members you have already entered onto the system. If you want to add new members to the list you can do this, and if you want to remove members from the list you can do this also.

Can I repeat a collection with the same members?

Absolutely! – Go to the “My Collections” tab in the main menu bar and select the option “Collections I have Created”. On the collection you want to repeat you can select the option “Create a New Collection with these Members”. This will open up a new “Create a Collection” page, where you can fill in the details for the new collection, and when you go to the next step the members will be already listed for you. Here you have the opportunity to add or remove members to or from the list.

Can the members of the collection pay by installments?

No, and the reason for this is to have the system as uncomplicated as possible, as some users do confess to having little or no knowledge of using computers or even the task of paying online, so we want to ensure there experience is a very simple and hassle free experience.

However, to over come this you can set up a collection for each individual installment for example, if you were going on a foreign break with your friends, you can set up a collection to collect the money for the flights and have a certain deadline for this as this would usually need to be secured first. Then you could set up another collection simultaneously for the accommodation, transfers, activity, etc. with a later deadline.

How does the payment process work?

Only the organizer needs to have a PayPal account as they need it for collecting and processing the money. From there they can pay for items from their PayPal account, or they can download the money to their bank account, and pay for things from there.

When the member makes a payment they don’t have to have a PayPal account to make a payment, as they can easily pay with their Credit Card, Debit Card, or their PayPal account if they have one.

When a member makes a payment they will be charged with amount that they have to pay into the collection, plus transaction fees. These fees include the fees that GroupandPay charge for the supply of the service it provides, and PayPal may charge a transaction fee for processing Credit Card and Debit Card Payments depending on how these accounts are funded.

Members can also make a payment to the organizer off-line with cash if the organizer is OK with this, and then the organizer can mark them off as “Paid” on the GroupandPay system. The good news here is, there are no fees associated with this option, but the member will still show up on the system, and will show up as “Unpaid” until they make a payment, and the organizer marks them off as paid.

What are the individual commission limits for the various currencies?

GroupandPay.com charges a 1% commission to maintain the service it provides, which is added to the amount each member pays when they pay into the collection.

The commission we charge is limited to a maximum charge of only $5 USD, or the nearest equivalent in your local currency.

This measure is aimed at keeping GroupandPay affordable for members of collections with higher costs for example Safari’s, Cruises, etc.

Do you need to have a PayPal Account?

Only the organizer needs to have a PayPal account, so they can collect the money and pay for the items you are collecting for. The members of your group Do Not Need A PayPal Account, as they can simply make a credit or debit card payment and PayPal will process the payment.

If members of your Group do have a PayPal account they will have the option to pay through PayPal as this will reduce their transaction costs.

If you haven’t used PayPal before don’t worry as you will be joining the biggest online payments network in the world, with over 143 million users, in 203 countries, using 26 different currencies, so if your not already on PayPal you should be!!

Is it complicated for members of the group to make payments ?

No! – the process will be a familiar simple process for them as they will be able to pay with their Credit Cards in the same way they pay for everything online.

If I am the organizer, Do I need to pay online?

No, because when you think of it, you are the organizer so the money will be coming into your PayPal account. So how this works is you add yourself to the list of members to let the rest of the group know you are taking part in the collection and then mark your contribution paid. This also saves you the online payment transaction fees.

What happens if I need to give a Refund?

That’s no problem, just follow PayPal’s procedure for doing refunds – See this link on PayPal for Info on this.

The transaction fees for GroupandPay.com are non refundable.

Can I change details of the collection after I have notified the group?

Yes, There is an edit button on the organizers collection page that you will see while the organizer is logged in. It is not recommended to change the amount of the collection after you have notified the group as this could cause confusion so be sure of the amount you need to collect before you set up the collection.

Can members be added to the group after the collection has started?

Yes! but the organizer is the only person who can do this. So email the organizer to let them know you want to join the group, or someone you know who should be included in the Group. All the organizer needs is their Name and email.

Can members be deleted from the collection?

Yes! but the organizer is the only person who can do this. So email the organizer to let them know you want to be deleted from the collection.

How does the payout to the Organizer work?

For the Organizer to get the money they have collected through PayPal, they just need to follow Paypal’s standard procedure and options for this, which you can see here.

You have three options for this:
(1) Pay for the items with Paypal, which is very cost effective.
(2) Transfer the money to your Credit or Debit Card, this is a quick procedure but does incur standard fees from PayPal.
(3) Transfer The money to your Bank Account, this is can take a few days so be sure to allow time for it in your collection deadline. This incurs standard fees from PayPal.

Do I need a new PayPal account for each collection I set up?

No! as once you have a PayPal account you are set up with the worlds largest online payments company, so you are now set up to make payments for almost anything online that carriers the PayPal logo. PayPal is owned by Ebay so you can be sure of maximum security on your payments, and maximum support if something goes wrong!

HOWEVER… if you are collecting, for example “Club Memberships” or “School Trips” then it would be advisable for the Club or School you represent to have its own PayPal account for security reasons, and for the purposes of creating ongoing collections in the future, as usually these collections would have to get the go ahead from a club or school committee.

Do I use my personal PayPal account for Club or School collections?

Its not advisable to use your own personal PayPal account if you are collecting for example “Club Memberships” or “School Trips”. It would be advisable for the Club or School you represent to have its own PayPal account for security reasons, and for the purposes of creating ongoing collections in the future, as usually these collections would have to get the go ahead from a club or school committee.

Can I change the deadline after I have set it?

Yes you can, but only the organizer can do this. All you have to do is select the edit button if you are logged in as the organizer, and reset the Deadline.

What happens if someone doesn't meet the deadline?

That’s something that you’ll have to make a decision on for yourself as a deadline is a deadline!

What happens when the Members get Notified about the Collection?

When you hit the “Notify the Group” button, Members will automatically get an email that will have the details of the collection that will include a “Pay Now” button. This button will allow users to simply pay their share of the collection with their Credit Cards or PayPal account, and its as simple as that!

They will also get reminder emails to pay as the deadline approaches, and in these emails they will also be able to see who is in the collection, and who has paid and who still needs to pay. This is an encouraging feature to get members to pay as members prefer to be on the “Paid” list.

Can I integrate the Collection on my Facebook page?

No, because the collections set up by the organizers are private collections, and a member can only be added to the collection if they are added by the organizer. You can definitely inform your friends through Facebook or other social media platforms about the collection, if that is appropriate for the collection. There is an option to use the “Invitation” feature to invite a friend to a collection, on the collection information page, but they still require the organizers approval to be added.

Can members share information about the collection?

The collections set up by the organizers are private collections, and a member can only be added to the collection if they are added by the organizer. Can a collection be set up for Lotto's or any form of Gambling Opportunities?

Absolutely Not! – GroupandPay.com is NOT designed for collecting funds from a group of people for any form of Gambling.
